Effective Letters

Your letter communicates more than just a complaint. It reflects your level of education, your ability to communicate clearly and persuasively, and your seriousness in resolving a noise issue. For this reason, all correspondence should be civil, focused, and free of ambiguity. Poorly written or emotional letters weaken your position and rarely lead to a productive outcome.

  • Do not use insults, name-calling, or language intended to demean others.
  • Do not threaten, curse, flame, or use abusive or hostile language.
  • Avoid using ALL CAPS or all lowercase text.
  • Do not write anything you would not want shared. Assume your letter may be forwarded to others.
  • Present clear, relevant, and specific information to support your complaint.
  • Do not make claims that cannot be supported with facts or evidence.
  • Clearly state the action you are requesting and, when appropriate, specify a reasonable timeframe.
  • Avoid lecturing or unnecessary commentary.
  • Do not write or send a letter when angry, upset, or rushed.
  • Proofread carefully and use spell check.
  • Avoid decorative or distracting fonts.

Re: Noise Disturbance

Dear Mr. Doe,

I am writing to formally address an ongoing noise disturbance originating from your property.

On Fridays and Saturdays between the hours of 11:00 pm. and 2:00 am, loud music is played from a vehicle parked on your property. The music can be clearly heard and felt inside our home. The vehicle has been identified as a red Nissan Sentra (license plate CWG-8265), and the individuals involved are your sons, Josh and Gary. I previously spoke with you about this matter on May 1, 2020.

I have since consulted with Lt. Gerry L. Sheldon at the Anytown Sheriff’s Department regarding applicable noise ordinances. Under Anytown Administrative Code 24-221, Sections D and E, no person may operate electronic sound devices or amplification equipment that is plainly audible between the hours of 10:00 pm and 8:00 am.

I was also informed that the Sheriff’s Department routinely investigates noise complaints. Violations of this ordinance may result in a fine of $250 for a first offense, with increased penalties for repeat violations, and may include a summons to appear before a judge. You may wish to consult legal counsel regarding your obligations under this ordinance.

Upon receipt of this letter, I expect that the noise disturbance will cease and that the applicable laws will be observed. If the issue continues, I will follow up with the Sheriff’s Department as necessary. Thank you for your attention and cooperation.
